A heat pump is not a “install it and forget it” appliance. It is a two-way refrigerant system with an outdoor coil sitting in Tacoma weather twelve months a year. Skip the maintenance and you shorten the life of a $12,000 to $20,000 investment. Do it right and you can get 15 or more years out of it.
Here is the maintenance schedule we recommend for our South Sound customers, broken out month by month.
Every Month, All Year
Check the air filter
Every 30 to 60 days depending on the filter thickness. A 1-inch filter in a house with pets should be checked monthly. A 4-inch media cabinet filter can go 4 to 6 months. If you hold the filter up to a light and cannot see light through it, it is time to change.
Look at the outdoor unit
Walk around it. Is there vegetation crowding it? Are the fins bent? Is there ice on the coil in winter (some frosting is normal during defrost cycles; a solid ice block is not). A 30-second visual catches issues before they cascade.
Spring (March, April, May)
Full outdoor coil clean
Rinse the outdoor coil with a garden hose from the inside out (open the top or side, spray outward). Cottonwood fluff, alder pollen, and grass clippings blow into the coil all season. A clogged coil forces the unit to run longer and hotter, cutting efficiency by 10 to 25 percent.
Clear a 24-inch service perimeter
Trim any vegetation back at least 24 inches on every side. If you planted shrubs or a hedge near the unit for aesthetics, they are killing your heat pump. Airflow is everything.
Book the annual service visit
Refrigerant charge check, capacitor test, contactor inspection, defrost board test, blower motor amp draw check. This is the visit that catches the $80 capacitor before it takes out a $1,400 compressor. May to early June is a good window before the summer service rush.
Summer (June, July, August)
Watch the condensate drain
Your air handler produces condensate during cooling. If the drain line clogs (algae, dust), water backs up and can trigger a float switch that shuts the system off, or worse, overflow into your ceiling. Pour a cup of white vinegar down the drain line every 60 days during cooling season.
Rinse the outdoor coil mid-summer
In a heavy pollen year, one spring rinse is not enough. A quick garden hose rinse in mid July gets you through the rest of the season.
Wildfire smoke response
When PM2.5 climbs during our smoke events, swap to a higher MERV filter (11 or 13 if your system tolerates it), close the fresh air damper if you have one, and run the indoor blower on low to keep filtering. Check the filter more often during smoke events; they load fast.
Fall (September, October, November)
Clear leaves from around the outdoor unit
Douglas fir and maple leaf litter can bury an outdoor unit in a weekend. Rake and clear regularly. Do not let leaves sit against the coil; they trap moisture and accelerate corrosion.
Test heat mode early
Run the heat pump in heating mode for 30 minutes in September when it is still mild. If it does not produce warm air (100 F or higher at the supply register), you have a problem. Better to find it in September than during the first freeze.
Consider a fall tune up if you did not do spring
Some homeowners prefer a fall PM to make sure heating is dialed in. Refrigerant charge, defrost cycle test, reversing valve check, back-up heat verification.
Winter (December, January, February)
Keep the outdoor unit clear of snow
Tacoma does not get much snow but when we do, brush it off the outdoor unit. Do not let snow drift up against the coil. The unit needs airflow to defrost properly.
Do not shut off the outdoor disconnect for winter
Some homeowners think they should. Do not. Modern heat pumps have crankcase heaters that keep refrigerant from migrating to the compressor. Killing power for months and then restarting on a cold day can slug the compressor with liquid and destroy it.
Watch for excess ice
Some frost on the coil is normal. A defrost cycle every 30 to 90 minutes clears it. If you see a solid ice block on the coil, sheet ice on the top of the unit, or the unit stuck in defrost, call a technician. Something is wrong with the defrost control.
The Annual Professional Service
Once a year, a technician should do all of the following. If you are on our Precision Comfort Membership, this is what your annual visit covers:
- Refrigerant charge check with gauges (not just “feels right”)
- Capacitor microfarad test
- Contactor visual inspection and voltage drop test
- Blower motor amp draw and static pressure test
- Coil inspection and cleaning as needed
- Defrost cycle test (put it in defrost, watch it complete)
- Reversing valve function check
- Electrical connection torque check
- Filter change or recommendation
- Thermostat calibration if needed
Frequently Asked Questions
How much does an annual heat pump service cost?
Our stand-alone annual maintenance visit is typically in the $180 to $250 range. Our Precision Comfort Membership includes it for less on an annual basis, plus discounts on repairs.
Can I do refrigerant charge check myself?
No. You need EPA 608 certification to legally handle refrigerant, and you need calibrated gauges and manifold. Everything else on the annual checklist you can visually verify, but the refrigerant piece needs a licensed tech.
What if I forget maintenance for two years?
Call and get it done. A skipped year does not destroy a heat pump, but a skipped decade might. Most failures we see are cumulative: dirty coil, weak capacitor, weak contactor, all overlooked, and then the compressor gives up in year 8.
Does maintenance void warranties?
No. It usually PROTECTS warranties. Most manufacturer warranties require documentation of annual maintenance to remain valid. Skip it and you may find a compressor claim denied.
